Car Sourcing Service
- The customer will initiate the sourcing process by submitting a sourcing request form via the Source My Car (“SMC”) website, although SMC may also accept verbal instructions by phone or in person at their discretion.
- The sourcing request form will require the following customer information to be provided:

- Full name, address and contact details;
- Details of the vehicle required, either by exact make and model or by the purpose intended for the vehicle;
- The desired price range, age and mileage of the vehicle
- Are any specific additional requirements
- Whether finance is required
- Details of any part-exchange vehicle
- On receipt of the sourcing request, a representative of SMC will contact the customer to confirm the exact vehicle specification required and to obtain more information regarding the part exchange, if applicable. The specification agreed upon between the customer and SMC in this communication will form the basis of the search and will supersede the requirements listed on the sourcing request.
- Source My Car will commence a search for vehicles that meet the agreed specification and will remain in regular communication with customers to discuss the progress of their search.
- In the event that changes to the agreed specification are required at any time during the search, this will be agreed upon between a representative of SMC and the customer before being enacted.
- When Source My Car has identified vehicles that meet the customer’s requirements and have carried out initial background checks to verify their provenance, SMC will contact the customer regarding the vehicle that is most suitable for the agreed specification.
- Should the vehicle be rejected by the customer, SMC will discuss with the customer the reasons for rejection and whether additional changes to the agreed specification are required. SMC will then recommence the search process to find an alternative vehicle.
- When the customer has agreed that a vehicle meets their criteria, SMC will arrange for any additional checks to be carried out at their sole discretion.
- Once Source My Car has completed the checks to their satisfaction, a representative will request confirmation from the customer that they are happy to proceed with the purchase of the vehicle. On receipt of this confirmation, SMC will request a deposit from the customer to secure the vehicle on their behalf.
- After the deposit has been placed on the vehicle SMC will notify the customer of when the balance is required to be paid, and the expected date that the vehicle will be ready for collection or delivery. On receipt of the cleared funds from the customer, SMC will complete the purchase of the vehicle and arrange for collection and preparation of the vehicle for handover.
- Source My Car will not place a deposit or complete the purchase of a vehicle until cleared funds have been received from the customer.
- In the event that on collection from the supplier a vehicle has been incorrectly described or is not in the condition expected, SMC will obtain a full refund from the supplier and immediately return the money in full to the customer.
- If a customer decides to cancel the purchase of a vehicle on which they have placed a deposit, SMC will use reasonable efforts to recover the deposit on behalf of the customer but cannot guarantee that it will be refunded either in part or in full. If the deposit is not fully recoverable, the customer accepts that this is the customer’s liability and agrees not to hold SMC liable for any shortfall. In the event of an order being cancelled after the placement of a deposit, the customer also agrees to pay SMC an administration fee of £250 + VAT.
- Source My Car reserves the right to decline to provide its services to any customer at its sole discretion.
Vehicle Preparation
- Undertake reasonable inspections to check that the main components and functions are tested as operating within expected parameters consistent with vehicles’ age and mileage;
- Undertake reasonable checks to verify the mileage, service history and MOT history;
- Provide customers with a report from a reputable independent body verifying that the vehicle has not been previously recorded as stolen or classified as an insurance write-off, and confirming that it is free from any outstanding finance;
- Ensure that all vehicles have a minimum of four months MOT from the date of purchase;
- Ensure that all vehicles have a minimum of four months from the date of purchase until the next service is due;
- Provide a parts and labour warranty to cover component failure for a minimum period of three months from the date of purchase at no additional cost. It is possible for the warranty to be extended by the customer for a discounted rate at the time of purchase (available to UK customers only);
- Prepare vehicles to a high standard with no major marks or blemishes present on the exterior and interior, except for normal wear and tear in relation to the age and mileage of the vehicle.
Payment Terms
- Due to the nature of the service, speed is an essential part of being able to secure the right car. This means that requests for payment of either a deposit or the remaining balance for the vehicle are payable on demand, as delays may result in the vehicle no longer be available.
- When Source My Car requests a deposit from a customer, the customer will be issued with a sales order showing the total value of the vehicle and any additional items requested, less an allowance for a part exchange vehicle, if applicable. SMC will notify the customer of the deposit amount required to secure the vehicle, which will vary based on the value of the vehicle.
- Source My Car will not place a deposit or complete the purchase of a vehicle until cleared funds have been received from the customer.
- Payments to Source My Car can be made by bank transfer, debit cards, or cash,
- subject to the following terms;
- Debit cards incur an additional charge of 2.2%
- Source my car does not accept credit cards
- Cash can be accepted up to a maximum of £2,000
- Source My Car does not accept cheques or bank drafts
Part Exchange
- Customers that are using the sourcing service and offering a vehicle in part exchange should indicate this in the sourcing request form on the website. SMC may also accept verbal instructions by phone or in person at their discretion.
- Upon receiving the sourcing request including a part exchange vehicle, a representative of SMC will contact the customer to obtain more information regarding the part exchange.
- Source My Car will provide the customer with an estimated valuation for the part exchange vehicle. The customer accepts that this is an indicative value only, and will have been reached based on the information provided by the customer to the SMC representative. The final value offered for the part exchange vehicle may vary if there are discrepancies in the description of a number of factors including age, mileage, specification, condition, provenance, accessories and/or completeness of documentation. The final part exchange value will be confirmed upon physical inspection of the vehicle, accessories and associated documentation by an SMC representative.
- Where Source My Car and the customer include a part exchange vehicle as part of the transaction, the agreed value of the part exchange vehicle will be deducted from the total sale price of the sourced vehicle and the customer will remain liable for any outstanding balance;
- In the event that at the time of collection/delivery, a part exchange vehicle being supplied by the customer is found to be not as described or in the condition expressed by the customer, within reason, then SMC reserves the right to make reasonable amendments the valuation and/or terminate the part exchange agreement at their sole discretion. In the event of a part exchange agreement being terminated for this reason, the customer accepts that they remain liable for the outstanding balance and that SMC may withhold the sourced vehicle until such balance has been paid in full. If the customer does not settle the outstanding balance within 14 days, SMC reserves the right to sell the sourced vehicle to settle the outstanding balance plus any reasonable costs associated with this sale. Any surplus monies, up to a maximum of the total amount already paid by the customer towards the vehicle, will then be returned to the customer as soon as is practical;
- Source My Car reserves the right to decline to accept any vehicle in part exchange at their sole discretion.
Vehicle collection and delivery
- A representative of SMC will contact the customer to notify them of when their vehicle is expected to be ready for collection.
- Collection takes place from our offices by appointment only and within business hours. Business hours are 09.00-18.00, Monday to Friday.
- Source My Car can organise for a vehicle to be delivered to the customer with prior arrangement. Delivery can be arranged to take place between 09.00 and 19.00, Monday to Friday. The charge for delivery is £150 plus VAT or £1 per mile plus VAT (as shown by Google Maps), whichever is the greater.
- Source My Car will only deliver vehicles to destinations in the UK. Deliveries to Northern Ireland will be charged on an individual basis and a quote is available on request.
- Source My Car usually require at least two working days’ notice to arrange delivery.
- Customers are responsible for arranging road fund licence and insurance on the vehicle prior to collection.
- Vehicles can only be collected or delivered when all outstanding sums have been settled.
General
- Source My Car reserves the right, at its sole discretion, to update, change or replace any part of these Terms and Conditions of Service by posting updates and changes to its website. It is the customer’s responsibility to check the website periodically for changes. The customer’s continued use of or access to our website or SMC’ services following the posting of any changes to these Terms and Conditions of Service constitutes acceptance of those changes.
- In the event that any provision of these Terms and Conditions of Service is determined to be unlawful, void or unenforceable, such provision shall nonetheless be enforceable to the fullest extent permitted by applicable law, and the unenforceable portion shall be deemed to be severed from these Terms and Conditions of Service, such determination shall not affect the validity and enforceability of any other remaining provisions.
- These Terms and Conditions of Service and any separate agreements where SMC provides services shall be subject to the laws of England, Northern Ireland, Scotland and Wales.
